Margie called HRx reporting that her non-profit organization was being audited by a grantor. They needed to have an organization chart developed with corresponding job descriptions.
We discussed the best options for creating top quality, compliant job descriptions:
(A) I could come in and interview each employee and create the job descriptions,
(B) I could work with the manager and/or the incumbents individually to help them create the job descriptions, then Id audit/edit them, or
(C) I could create a training session for all their employees and/or managers and train them how to write the job descriptions, then review the final versions.
Margie opted for C which was also the most cost effective option. We set up the managers in a training room, each with an individual laptop to work on. I sent the job description formats ahead, so they were pre-loaded onto their computers. I conducted 2 hours of job description training, then we met for another 90 minutes. During this 90-minute period, the managers worked on their departments job descriptions while I answered individual questions as they arose, assisting with writing and formatting and filling in their missing pieces. By the end of the session, the managers had at least one job description complete and all the tools they needed to complete the remaining job descriptions.
Once the drafts were complete and emailed to me I reviewed them, made sure they were written smoothly and that the KSAs (knowledge, skills and abilities) were consistent across the organization.
The employees understood their job responsibilities better and the grantor had all the information needed!
